Are you thinking about having a t shirt fundraiser? Here are 11 key steps you should follow to make sure your fundraiser is a success. We have over 25 years experience in helping schools, teams and organizations raise money with t shirts. We have outlined the key steps you should follow to make sure your fundraiser is easy to do and profitable.
1. Set A Profit Goal.
Figure out how much money you need or expect to make and how many people you have that will participate in the t shirt sale. Then break those numbers down so each participating member will know exactly how many t shirts they need to sell to reach your goal.
2. Have A Great T shirt Design.
It’s important to have a tee shirt design people will want to wear. We work with hundreds of high school teams and just because the players like a design, doesn’t mean your fans will like it. Make sure you choose a design that’s appropriate for all age groups. Normally your t shirt provider will help you with this and have design ideas you can choose from. Another great way to have a unique design is, if you have a team member that is good with art have them create or draw a design for you.
3. Sell Other Items Besides Just T Shirts.
Make sure your t shirt provider with can provide you with the latest trends in sportswear. People want new and fresh fashions, so it’s important to have other items to offer them. Some of the latest trends are vintage apparel, high quality performance wear and shirts that are super soft and have that lived in look. You don’t want to have to many choices but a few additional options are great.
4. Create A Simple T Shirt Order Form.
Make if easy on yourself by creating an order form that is simple and easy for people to fill out and understand. Have your items displayed on the form in color so your fans can see exactly what the shirts will look like when they receive them. List details of each product along with sizes and pricing, the date the orders are to be turned in, approximate date when your customer will receive his or her order and who checks should be made payable to.
Make sure the sizes and prices per shirt are boldly displayed and easy to read. Have a spot for the player or student names, and phone number so if you have questions about a order you’ll easily be able to contact them with your questions. You may also want to include a spot for the students grade and/or homeroom teacher.
Send an email with a copy of your custom order form to all your fans and alumni letting them know about your t shirt fundraiser. Have them fill out the order form with payment and mail it back to you.
5. Remind Each Team Member To Sell, Sell, Sell.
Remind each team member every couple days about your fundraiser and how important it is to your program and what the money will be used for.
6. Have Incentives To Motivate Team Members and Boost Sales.
Not only have an overall sales goal, set sales goals by player with incentives when they reach that goal. If a player sells so many items they receive a FREE ITEM. Work with a company like Specialtee Sportswear where they provide the incentives and Free Items when players reach a specific goal. An incentive can be a simple as not having to run sprints for a week if the player meets his/her goal. Ask us for some other incentive ideas that work extremely well.
7. Collect Your T Shirt Fundraiser Order Forms and Keep A Total as You Go.
When you start to collect the t shirt order forms keep them in a large envelope. On the outside of the envelope you can attach a piece of paper with the items your selling listed on it. Then as you collect the forms you can keep a running tally of each item sold by size. By doing this it makes it much easier when it’t time to total the orders and purchase the shirts. This is something we do for our customers so they don’t have waste time counting and totaling forms. Check with your shirt provider and see if they will do this for you!
Make sure each order form has the players name and the total amount of money received noted.
8. Make Copies of all the T Shirt Fundraiser Order Forms.
This is important! Once you receive all the forms and have ordered the shirts make a copy of each order form. The original for you to keep for your records and the copy to go home with the players order. We keep the original order form and give the player a copy back in case we have an upset customer that says they didn’t order a specific item we can show them the records. Even though the fundraiser is to help the school organization and team, usually ran by volunteers you would be amazed how rude a parent can get if they don’t receive the correct t-shirt.
9. Order Additional Shirts.
We don’t recommend ordering extra shirts because it ties up money and you never have the correct size. If you feel you need to have some extras you can order a few as long as the design is generic so you could sell them next season. We have found this percentage breakdown to be most common for clients ordering from Specialtee Sportswear:
S – 15%
M – 30%
L – 30%
XL – 15%
2XL – 8%
3XL – 2%
9. When The Tee Shirts Arrive
Most people try to get as many helpers as they can to sort the shirts Don’t Do That! You get to many people and mistakes can easily happen. You only need 3-4 people to insure you wont have any mistakes. One or two people will be used to get the order form and pull the order. The other two people are needed to check the order and verify they have the correct items. Here is how this works.
When the order is pulled give the order along with the order form to the two people checking each order. One person calls out the item and size while the other checks it off the order form. Once they verify each item is correct they can bag it and give it to that player. Once the player receives the order have him/her verify the order right there before they leave to make sure everything is correct. Our company does this everyday for our customers so they don’t have to waste hours of time counting and sorting shirts and it works.
10. Allocate The Profits You Made
Now that your t shirt fundraiser has been a success you need to clearly state and allocate the funds you raised to your specific needs. Don’t just deposit the money in your account take the time to decide how you will use the money and what it will pay for. This should have been figured out before the sale started so now is the time to see if you met your objective.
Let’s say you were doing to do a t shirt fundraiser to pay for new uniforms. Assume we raised $2500.00 and are planing on purchasing 20 sets of new uniforms each costing $100.00 per set. You would first figure out the 20 new uniforms were going to cost $2000.00 leaving you with a balance of $500.00
Then you would need to figure out what the additional $500 could be used for. Maybe to purchase the team meals on an away game, help pay for a charter bus on a long road trip. Possibly pay for officials or pay for new gear for the coaching staff.
However you decide, it’s important that you have a detailed plan on how you will use your funds; otherwise you wont make the best use of your profits or you’ll spend more money than you earned.
